Storing contracts, plans and certificates

The document vault is where every piece of paper a renovation generates lives. What to keep and why.

A renovation generates an enormous amount of paperwork. The Document Vault in each project is the place to keep all of it. Years later when you sell the house, claim a warranty, or have a leak, you will be grateful.

What to store

Pre-build

  • Quotes (final accepted versions)
  • Signed contract / agreement with your contractor
  • Planning permission decision (if applicable)
  • Building Regs application
  • Survey reports
  • Structural calculations
  • Architectural drawings (PDFs)

During the build

  • Variations and changes signed off
  • Invoices and receipts
  • Materials specification sheets
  • Photos of hidden services (plumbing, electrics) before they are covered up

Post-build

  • Building Regs completion certificate
  • Gas Safe and electrical (EICR / Part P) certificates
  • FENSA / CERTASS for windows
  • HETAS for solid fuel
  • Manufacturer warranties for installed items (boilers, appliances, etc.)
  • Final paid-up invoice marked "settled"

How to upload

  1. Open the project.
  2. Click Documents.
  3. Drag-and-drop files, or click upload. Most common formats supported (PDF, JPG, PNG, DOC).
  4. Add a category and short description so you can find it again.

Privacy

Documents are private to your account. They are encrypted at rest. We never share document contents with contractors or any third party.

Tip: 7-year rule

For UK tax / capital gains reasons it is worth keeping major-works receipts and certificates for at least 7 years, and ideally for the whole time you own the property. Major improvements can reduce a future Capital Gains Tax bill. Document Vault is the right place for these.
